PyCon India 2011 - Ground Team Activities
These are a set of activities / tasks which need to be completed at Chennai. I am taking cue from last years venue requirements [from the wiki] and spawning this thread. after some initial discussions we should be moving the content into the pyconinida wiki. please add on if i had missed something. and please volunteer if you are from chennai :D * Venue Requirement Status: We have shortlisted a potential list of colleges that we can approach to host PyCon India 2010. before we zero in on a few colleges we need to take a look at a few things. namely: ** What is the total number of participants we are expecting / will be comfortable with? ** How many tracks should we be planning for? ** Are we planning hackathons? if so what are the requirements for it? ** Based on discussions on the above questions. we need to short list a few potential colleges, and workout on the tradeoffs between travel distance, comfort and general college prominence. * Catering Status: got a list of caterers who usually supply for the barcamps and other such meetups. ** We need a few people who can engage the caterers and get the best rates. * Wifi Status: some colleges have their own wifi network setup that can be used. ** if it cant hold over required bandwidth we can approach the wimax providers to provide us with a dedicated connection at a cost. ** In either case we need a bunch of network geeks who can do a better and more detailed feasibility study once the venue is decided. * Banners / Artworks: ** Artwork gets done remotely over the Internet. ** Once we freeze on the collateral we will be good to print. * Audio-Video: ** Colleges have projectors. and some also have inbuilt Audio systems. ** However there might arise a need to hire a professional AV team, in which case we need a person to coordinate / liaison. * Video Recording / Post Proc: ** This will defiantly need professional handling and will also need a dedicated set of individuals that would instruct the ideograph on what needs to be videographed and what need not. hope i got most of the things listed. i am sure i missed a few please do feel free to add on. cheers, kausik -- Kausikram Krishnasayee Company: http://silverstripesoftware.com | Webpage: kausikram.in | Blog: blog.kausikram.in | Twitter: http://twitter.com/kausikram | Email: kausikram@gmail.com | Mobile: +91 9884246490

[...] I will probably be attending PyCon in Atlanta this March so if there's someone we want to invite to be our keynote speaker (like David G. last year), I can speak to them. Another thing I can help out with is talking to sponsors in Bangalore. --

Hi, i was hoping that we have some active discussion on the above quoted bit. what is the number of people we are going to be expecting. do we have to think about accommodating more people than last year. or think about cutting down on the numbers. -- Kausikram Krishnasayee Company: http://silverstripesoftware.com | Webpage: kausikram.in | Blog: blog.kausikram.in | Twitter: http://twitter.com/kausikram | Email: kausikram@gmail.com | Mobile: +91 9884246490

Depends on the size of the venue. We can handle a large number I think but we need an approximate size atleast a month before the event to plan properly. Early bird etc. I think the price different should be substantial (between early bird and late regs.)
** How many tracks should we be planning for?
I vote for one extreme track (similar to the PyCon in the US) which will only have battle hardened talks from people who have been working on projects in depth.
** Are we planning hackathons? if so what are the requirements for it?
(An) extra day(s) if necessary, reliable wifi, space and publicity. Another thing that occurs to me is paid tutorials. a day of multiple 3 hour tutorials on basic Python, Django etc. all the popular bits will be useful to several people. They'll have to pay for them and we can pay the presenters. One tutorial day, 1 day of pure conference, 1 day of conf + hackathon. [...] --

We don't need a day for that. Just a room and an hour or so like last year.
that is not what I meant - last year, for some reason, the society was not mentioned anywhere on the site, and even the information about the AGM was last minute stuff. -- regards Kenneth Gonsalves
