From pal.nabarun95 at gmail.com Sun Jan 5 12:46:29 2025 From: pal.nabarun95 at gmail.com (Nabarun Pal) Date: Sun, 5 Jan 2025 23:16:29 +0530 Subject: [Inpycon] Call for Proposal for PyCon India 2025 In-Reply-To: References: Message-ID: Hi everyone! We would like to submit a proposal to organize PyCon India 2025 in Bengaluru in the month of September. Once the proposal is accepted, we will finalize the dates for the conference. The plan is to conduct the conference at NIMHANS Convention Center which has a capacity of 1100 people in the main room for the keynote talks and two other halls having a capacity of 300 and 200 respectively. We don?t want to make too many changes to the format of the conference from last year as it worked pretty well and we want to additionally refine our processes to make the organization of the conference leaner and simpler. ** Proposed Event Format - 4 days of event - 1 day of workshop - 2 days of general sessions - Keynotes, Breakout Sessions, Open Spaces, Poster Presentations - 1 day of developer sprints An initial team of volunteers has agreed to help with the conference: (Note: This is not an exhaustive list and is in alphabetical order.) - Abhishek - Ananyo - Anirudha - Arjun - Arka - Ashish - Bhavin - Bibhas - Chandan - Farhaan - Nabarun - Pratik - Rayan - Sayan - Shabnam - Shilpi - Sohom - Surbhi We invite interested people from all the Python chapters in India to join in helping make the event a great success. We will continue following the Working Group model to manage the conference, with some consolidations done learning from experiences from the recent past. Once the proposal is accepted, I will send out an email detailing the responsibilities of each working group. We will be setting up WhatsApp groups to manage internal communications, with Zulip and this mailing list being the medium for inbound communications from attendees. Specific working groups can choose different communication media depending on their requirements. All these groups on instant messaging platforms will be spun down after the conference is over in the interest of long term communications on Zulip. We will be communicating event updates to the broader community through this mailing list. Tasks will be co-ordinated through GitHub Project Boards. We would really appreciate a go-ahead from the community so that we can start booking the venue, gathering volunteers, involve a design agency and call for talk proposals for the conference. If you have any questions or comments or concerns, please chime in on this thread. I am excited to announce that PyCon India 2025 will be conducted in Bengaluru. We are still finalizing the dates and there will be a confirmation by the end of this week. We will share updates on that shortly. The tentative date of the conference will be in the second week of September 2025. You all might know that PyCon India has forever been a community driven event. It?s the people who have made the event so successful over the years. As we get into action mode to prepare for the 2025 event, I would like to invite you to become a part of the volunteer team. Interested folks can help us offline as well as online, there is scope for both kinds of involvement. Our volunteer team is divided into several teams, and we call them ?Working Groups?. Some of them include Program Committee, Website, Design, Content and Social Media Communications, Logistics, Technology. These are non-exhaustive and in no priority order. As a volunteer in the team, you will get to work with the minds helping with the conference for many many years and you will get to learn a lot from working with them. If you are interested in joining us, please fill out the volunteer interest form: https://in.pycon.org/volunteer. I will shortly schedule the first online meeting of our existing volunteers so that we can touch base on the existing work. Please be tuned into this mailing list for the meeting details. Last year, we also did some in-person volunteer meetups. We plan to have them more often and earlier this year. We understand that not everyone can join them and to make the experience better, we will be having detailed meeting notes for the offline meetups as well. (If we get a company to host us for the offline volunteer meets, we might as well be able to live stream and have people join us through video conferencing) Thank you again for considering volunteering for the conference.
