The 4th & 5th October option looks good to me, so I think we should commit to that date and start planning from there. We also need some rough numbers for rates we're going to charge attendees, and number of people we'd like to see to work with. From the academic side, I'd like to see the rates kept as low as possible - this isn't going to be a peer reviewed conference [1], so people aren't going to be nearly as willing to spend money to send students to it, and most of the interesting scientific python work locally is being done by the students. I'd really like to get a date set before the end of this week or early next week is possible. The main stumbling blocks are confirming with ThoughtWorks whether the day before works for them for Agile Africa and then getting at least a tentative booking for a venue. Jonathan (Endersby) suggested having two conference tracks -- one advanced, one more introductory. I think it's a good idea. Obviously keynotes and such will be single track. Having two tracks does potentially affect venue selection though which is why I'm raising it early. Having student rates and financial aid are both good ideas. I think something like PyCon's abstract submission process will work for us. Keynotes and big talks will probably be by invitation (given all the arranging that has to happen to make those work). At this point that requires a little bit of back-tracking since the PSF gave us za.pycon.org. There is some precedence with EuroPython -- I guess AfroPython with be the direct equivalent. I wouldn't mind getting at least one national conference under my organizational belt before going for a continental conference though. May we could put forming an organizing group for AfroPython 2013 on the agenda for the conference? And make it clear that all of Africa is invited in promotional material?
